Less is more, especially in all things waste minimisation. Past successful applicants have focused on one or a very few aspects of their business operations, and showed how it meets or exceeds the allocation policy requirements. Priority waste streams indicated in this summary web page and the allocation policy linked at bottom of that page guide the internal panel review team in assessing all applications.

Project plan - business waste reduction

Word count:
Must be no more than 250 words. Short summary (250 words or less recommended) of your waste reduction project - describe what you're going to do [actions] and what result it will achieve [impact]
12 month or shorter projects will generally need to begin within 3 months of funding approval by Council. Projects spanning multiple years will need to be agreed/approved by council officers, and will be a condition within your funding agreement.

Project objectives and outcomes

This fund is designed to assist existing businesses in implementing measures that will lead to long-term and measurable minimisation of waste from their operations.

Word count:
Must be no more than 250 words. The external funding source - waste levy - requires that applications/projects state how the project results in less waste [by quantifiable measures such as weight/quantity] ending up in landfill
Kāpiti waste levy grant-supported project businesses must be registered/based/occur within the Kāpiti Coast District boundaries. Where some activity occurs outside of District boundaries please indicate an approximate percentage that will occur in-region.

Must be no more than 250 words. We recommend that you keep this simple: E.g. type of waste x expected diversion quantity/weight away from landfill and into reuse/recovery. Indicate the current situation and the reduction weight +quantity you reasonably expect to achieve.
If your proposed project is not expected to achieve any nett cost savings simply indicate $0, or a negative figure if relevant
Word count:
Must be no more than 250 words. Briefly describe how you're going to share what you're doing with your customers, suppliers and other stakeholders. Again, this doesn't need to be long, just quantify a plan: E.g. "We will use our existing website and social channels to explain our waste reduction project, why we're doing it, and the reduction we are aiming for". Give us a clear/basic idea of what that will look like. E.g: "we'll do #posts on socials, add a specific page to our website, publish our wins and learns via Linkedin"

Funding Details

A $20,000 funding pool [minimum 50% co-funded by your business] is available for Business Waste Reduction projects 2025-2026 financial year.

  • Two supporting quotes are required (where possible) for proposed equipment purchases.
  • No minimum $ per application. Maximum application $20,000 co-funded 50% by your business = $40,000 project.

                    Conflicts of interest may be: actual: where the conflict currently exists, e.g. you are related to a staff member who is assessing this application; potential: where the conflict is about to happen or could happen; or perceived: where other people may reasonably think that a person is compromised, e.g. you are part of Council as an employee or elected member. Conflicts may often be managed so you are still able to access this funding.

                    What we need you to do if you are approved to receive funding:

                    Administration & Accountability:

                    • Sign and return a funding agreement.
                    • Be/become an approved/registered supplier to council, which requires proof of business bank account.
                    • Await invoicing details including a specific purchase order reference number.
                    • Use the co-funding only for the purpose you've received it.
                    • Keep good/auditable records of what you spend on this project.
                    • Keep track of both your progress and the results of your project.
                    • Interim check-in: Let us know how your project is going (in an email, remote or in-person meeting, through your organisation's regular reporting, or in a separate report).
                    • Submit a report back at the end of the project, at the end of the council financial year you received funding for, or latest within 12 months of the funding approval by Council.

                    Talk to us:

                    • If you have to defer or cancel the project for any reason.
                    • If you find any issues in completing the project.
                    • if you want to make any more than minor changes to the project from what you originally planned and indicated in your application.

                    Acknowledgement of Council:

                    • Acknowledge Kāpiti Coast District Council in all your formal documents and promotional material relating to this project or initiative. Logos are available on request.

                    Declaration

                    I understand that if the information is not correct, then the Council may refuse to consider the application, require immediate repayment of any grant, cancel any other entitlement granted and/or enforce its rights.

                    Each applicant must use grant monies only for the purpose for which they are granted and account for them, including providing a completed Accountability Report Back form.  If that is not done, any grant monies paid must be repaid to the Council on demand. If the actual cost of purchased equipment is lower than the initial quote, the difference will be repaid to the Council at the same time that the purchase price is paid. Proof-of-purchase must be provided to Council, or to their appointed auditors, on request.
